Milestones & Timeline
The Timeline tab is where you manage all the deliverables for a project. Milestones are the top-level phases; sub-milestones break each phase into smaller tasks.
Milestone Structure
Milestone (e.g. "Brand Identity")
├── Sub-milestone (e.g. "Logo concepts")
├── Sub-milestone (e.g. "Colour palette")
└── Sub-milestone (e.g. "Typography system")Each milestone has:
- Title — the deliverable name
- Due date — the agreed delivery date
- Payment percentage — the share of the total project fee tied to this milestone
- Status — current state of progress
- Sub-milestones — optional tasks within the milestone
Milestone Statuses
| Status | Colour | Meaning |
|---|---|---|
| Not started | Gray | Work hasn't begun |
| In progress | Blue | Actively being worked on |
| Blocked | Orange | Waiting on something before proceeding |
| Delayed | Red | Past due date or formally delayed |
| Completed | Green | Delivered and done |
To update a status, click the status badge on any milestone and select a new value from the dropdown.
Adding a Milestone
On the Timeline tab, click Add milestone. Fill in the title, due date, and (optionally) the payment percentage. Save to add it to the project.
Adding Sub-Milestones
Expand a milestone by clicking its row, then click Add sub-milestone. Sub-milestones have a title and status but no separate due date or payment percentage — those belong to the parent milestone.
Reordering Milestones
Drag milestones up or down to reorder them. The order reflects the sequence shown to your client in any reports or exports.
Using Omi to Suggest Milestones
If you're not sure how to structure your project phases, click Suggest with Omi on the Timeline tab. Omi will analyse your project's category, description, and budget and suggest 3–6 milestones with payment percentages that add up to 100%.
You can accept individual suggestions, dismiss ones that don't fit, or use them as a starting point and edit freely.
See Milestone Suggestions → for more detail.
Amended Dates
If a milestone's due date has been changed through a formal amendment, the Timeline shows:
- The original date with a strikethrough
- The new date in amber
This gives you a clear audit trail of what was agreed vs. what was originally planned.
Viewing Delays
Milestones that have been formally delayed show a Delayed badge. You can see the full delay history in the Delays & Amendments section.
